Ticket extras
With extras, buyers can add something to their tickets: parking, a drinks bundle, a programme booklet. You create them per event, with a price (or free) and optionally a stock. An extra has no QR code of its own; it belongs to the ticket.
Step 1: Create an extra
- Open the event, choose Edit event and go to Tickets.
- Below the ticket types, under Extras, click Add extra.
- Fill in:
- Name and optionally Description.
- Price – 0 is free.
- Stock – leave blank for unlimited.
- Maximum – how many someone may take, per ticket or per order.
- Applies to – the ticket types it can be bought with. Nothing ticked means all ticket types.
- Icon or photo – a photo replaces the icon.
- Choose the Delivery (see below) and save the event.
The On sale switch takes an extra off sale temporarily. Each extra shows how many have been sold.
Step 2: Choose how it is delivered
- Shown on ticket and email – the extra appears on the ticket, in the email and on the ticket page. Nobody scans anything: you simply look at it, for example at the car park barrier. The entrance scanner does not check these extras, but it does show them (see below).
- Redeemed at the bar – the bar scans the ticket and redeems units. Under Number of units, enter how many there are per extra bought, for example 3 drinks.
Redeeming at the bar
Create a separate scanner for the bar with May redeem turned on and choose the extras under Extras to redeem; see Creating a ticket scanner. A bar device does not check entry: May scan and May redeem are mutually exclusive.
The volunteer scans the ticket, sees for each extra how many units are left, chooses the number and taps redeem. Redeeming only works with a connection.
How many were sold and redeemed is shown in the Extras block on the event page (see below).
What the buyer sees
When buying, the Extras block follows the tickets, inviting the buyer to add something. All quantities start at 0; the buyer chooses. Extras carry no additional service fee. If the ticket is free but the extra isn't, the buyer pays for the order online.
After buying, the extras appear under Your extras:
- in the confirmation email;
- on a second page of the ticket PDF (your own Ticket Studio design stays page 1);
- on the ticket page.
An extra per order appears with every ticket in that order, under "With this order".
What the scanner shows at the entrance
When a staff member at the entrance scans a valid ticket, or one that was already scanned, the caption Extras with this order appears under the message, with the extras of the whole order, for example "+1 Parking". The quantity applies to the whole order, not to this one ticket: if an order has three tickets and the buyer took parking with each ticket, every one of those tickets shows "+3 Parking". So hand items out per order, not per scan. That way someone at the car park barrier sees straight away that parking has been paid for. It is only a display: the entrance scanner checks and redeems nothing, not even an extra that is redeemed at the bar. It also works offline; see Offline scanning. If the order has no extras, nothing appears.
Overview for the organisation
Administrators can see what has been sold:
- The event page has an Extras block. For each extra it says "N sold", including extras that are only shown. For an extra you redeem, it also says how many units have been redeemed.
- In the list of the Ticket sales card, an order with extras has a line such as "1× Parking, 2× Drinks bundle". That line sits on the first ticket of the order, not on every ticket. An extra that applies to the whole order gets "(whole order)" after it.
- The ticket sales export then has an Extras column in the same form. That column only appears if extras have been sold.
Only paid orders count.
At the door
The till in the scanner only sells extras with the delivery Shown on ticket and email. See Cash sales at the door.
Frequently asked questions
I want to delete an extra that has already been sold. It is then taken off sale instead of deleted. What was bought stays valid.
Can I still delete the event? Not if extras have been sold: those sales must be kept for seven years. Archive it instead.
Does redeeming work offline? No, only with a connection.
