Cash sales at the door
With the till in the ticket scanner, a volunteer sells tickets for cash at the door. The money does not go through 4planning: no service fees are added and it is never part of a payout. A ticket sold this way is checked in straight away, so the buyer doesn't need to be scanned as well.
Step 1: Put ticket types on sale at the door
- Open the event and choose Edit event, section Tickets.
- For each ticket type, choose under Sales:
- Online – only through the ticket page.
- At the door – only through the till, not online. Handy for a door price.
- Both – online and at the door.
- Save.
A paid type that is only sold at the door can be put on sale without online payment for tickets being set up.
Step 2: Give a scanner permission to sell
On the scanner, turn on May sell (till) and tick the ticket types under For sale at the door. You can do this for a new scanner or under Change; see Creating a ticket scanner. If the same scanner may also scan, the volunteer sees the Scan and Sell tabs.
Step 3: Open the till
The volunteer opens the scanner, enters their name and, on the Sell tab, first opens the till with the change. Each device has its own till. See Opening and closing the till.
Step 4: Sell
- Tap + or − for each ticket type. You see the price, "Free", how many are left, or "Sold out".
- If the event has extras that are shown on the ticket, they are listed underneath under Extras.
- If the buyer wants their tickets by email, fill in Email for the tickets (optional). The email follows after the sale.
- Check the Total, take the money and tap Cash received.
You briefly see "Sold" with the amount. A single sale can contain at most 25 tickets.
Undoing a sale
Latest sales shows the last five sales on this device. Up to 5 minutes after the sale there is an Undo button; the tickets then become invalid. This only works on the device that made the sale, and no longer once the till is closed.
What works differently at the door
- The sales window, the maximum per person and the visibility of a ticket type don't apply at the door. The number of available tickets does: online and door share the same stock.
- Selling only works with a connection. Without signal the button turns grey with "No connection — write sales down on paper". If the signal drops right after you tapped Cash received, the till locks the basket until it knows whether the sale went through; see Opening and closing the till.
- If the event is cancelled or not yet published, you can't sell. Closing the till still works.
After the event
The Ticket sales card on the event shows revenue split into online and at the door. The ticket sales export has a Payment method column.
If you cancel the event, the cancellation lists the cash tickets separately, for example "12 tickets, € 72.00 in cash to be returned by the club". Those tickets are marked as refunded; you return the money yourself as a club, because it never went through 4planning. The cash statement of that evening doesn't change.
If buyers paid online, the cancellation also shows how much has to be returned. If the service fee amount of an older payment is not known, it says "at least" everywhere: in the summary (Total amount (at least)), in the list ("N buyers get back at least € X in total", noting that the service fees of those older payments are not known and not included) and in the confirmation just before cancelling. The actual amount may therefore be slightly higher.
A till in which nothing happened (no sale, deposit or expense) does not stop you from deleting the event, provided it is still open or was closed without a cash difference (counted amount equal to the float); it is cleaned up together with its cash statement. If there has been a sale or a booking, including a sale that was undone, or the till was closed with a cash difference, you can no longer delete the event: cash statements must be kept for seven years. Archive it instead.
Frequently asked questions
Can I offer card payment or iDEAL at the door? No, the till records cash sales.
Does the buyer get a ticket with a QR code? Only if you enter an email address. It isn't necessary: the ticket is already checked in.
Two volunteers on one scanner link? That's fine. Each device has its own till and can only undo its own sales.
