Setting the default visibility

Under Settings › Access & privacy › Visibility you set what members see of each other by default. Important to know: that choice applies to members added from now on. Existing members keep the setting they have themselves. If you want to arrange it for them too, there is a separate button for that.

Step 1: Open the setting

  1. Go to Settings in the menu.
  2. Open Access & privacy and click Visibility.

You see five rows: Member attendance, Phone, Email, Date of birth and Show birthdays.

Step 2: Choose the default

For Phone, Email and Date of birth you choose Show or Hide. Then click Save at the bottom.

From that moment on, every new member — created, invited or imported — gets that setting as their starting value. The member can change it later under My account.

For Date of birth, Show means the member appears on the birthdays page with their day and month. Only the member can add their age.

Step 3: Also apply to existing members

Under Phone, Email and Date of birth there is the button Also apply to existing members (number). The number is the real number of members the action would affect, so you see the size of the change in advance. You get a confirmation before anything changes.

  • If the setting is Show, members who currently have this hidden become visible. For the date of birth they get Day and month; that is why the confirmation says the year of birth and the age stay hidden. Anyone who had chosen the full date with their age keeps that.
  • If the setting is Hide, it is hidden for all existing members.
  • If it says All existing members are already set this way, there is nothing to apply.

Note: this overwrites a choice members may have made themselves. That is why it is a separate button with a confirmation and not an automatic consequence of Save. Only a system administrator can perform this action.

Show birthdays

The fifth row is about something different from the four above it: not where a new member starts, but whether a member may hide their birthday at all.

  • Always (day and month) — the default. Every member appears on the birthdays page with their day and month; the year of birth and the age stay hidden unless the member chooses otherwise. Under My account a member can then only choose between Day and month and Full date.
  • Member's choice — every member may also hide their birthday completely. That is how it used to work, which is why the birthdays page stayed empty at most clubs.

Even with Always (day and month) you can make an exception per member: open the member, click Edit and set Birthday on the birthdays page to Hidden. Use that when a member objects to their birthday being shown; they have the right to object.

Attendance works differently

The row Member attendance has no button, because it applies itself already:

  • Always public immediately makes the attendance of all existing members public as soon as you save.
  • Member's choice leaves everyone's own setting untouched.

Frequently asked questions

  • I set Date of birth to Show, but the birthdays page stays empty. The setting only applied to new members. Click Also apply to existing members to apply it to your current members as well. See also Viewing and celebrating birthdays.
  • Can I show everyone's age? No. The button puts a member on day and month; only the member can choose the full date including their age, under My account.
  • Can I undo this? You can set the option to Hide and apply that again, but an individual member's original choice can no longer be restored.
  • Why does the number in the button not match my number of members? The number only counts members who currently differ from the chosen setting; those already set correctly are not counted.
