Settings explained

The Settings overview is made up of cards, grouped under a few headings. You open a card and pick the part you are looking for inside it; the Back button takes you one step up each time. Not sure which heading something falls under? Use the search field at the top: type what you are looking for ("iban", "colour", "password", "vat") and you jump straight to the right place.

General

Organisation — your basic details and structure.

  • Details – name, email address, phone number, address, the start page after logging in and how the dashboard is shown.
  • Groups – view and manage all groups within your organisation.
  • Languages – which languages are available and which one is the default.
  • Subscription – your plan and payment details.

Appearance — what your environment looks like.

  • Colours & display – your primary and secondary colour, the font, how events are shown in the calendar, how cards look on a phone (full width or with a margin), what the bar at the top of the screen looks like on a phone (glass, your own brand colour or traditional) and what the message that appears in the top right after saving looks like (glass, full glass or traditional).
  • Logos and imagery – logo, login screen background, favicon and app icon. Click a row to upload a new one.
  • Planny – whether the AI assistant is switched on, who may use it, and its name, picture and writing style.

Menu & pages — what appears in the menu (navigation management) and which custom pages your members see.

Communication and access

Access & privacy — who may see what.

  • Visibility – whether attendance, phone number, email address and date of birth of new members are visible. Members can change this themselves later; with the Also apply to existing members button you extend your choice to your current member base after all. See Setting the default visibility. Show birthdays is here too, which decides whether everyone appears on the birthdays page by default — see Viewing birthdays and sending congratulations. The visibility of the member list itself is under Links.
  • Two-step verification – for whom 2FA is mandatory. You immediately see who it affects and who has not switched it on yet.
  • Documents – whether administrators see all documents.
  • Links – separate links and visibility options.

Communication — everything your members receive.

  • Email – a signpost to three separate pages: Email templates (the texts of outgoing emails), Automatic reminders (how many days in advance customers are notified) and Mail server (your own SMTP; only 4planning sets that up).
  • Notifications – the birthday email, the birthday push and the automatic reminders before an event or match.
  • New members – the onboarding screens in the app and the text of the invitation email.

Features

One card per feature that is switched on in your environment, so this list differs per organisation: Extra fields (custom fields on a member and on an event), Contribution, Tickets, Bar shifts, Team directory, Sponsors and Points system. Every card takes you to the settings of that feature.

Do you see a Features card with a 4planning label? Then you are part of the 4planning team; that is what we switch features on and off with. Administrators of an organisation do not see that card.

Integrations

Connections with systems outside 4planning: Sportlink integration (we set that up) and Club TV (information and live streams from 4planning on the screens in your club). Working with a system that is not listed yet? Let us know through Request another integration — most connections exist because one club asked for them.

Status & Support

  • Limits – your members, storage space and AI credit in one overview, each with a bar.
  • Referrals – refer other organisations and earn a monthly discount.
  • Changelog – what is new in 4planning.
  • Activity log – all actions within your environment.
  • Contact – a conversation with the 4planning team.

Tips for effective use

  • Walk through the settings before you invite users.
  • Get your house style and visibility right straight away; that saves explaining later.
  • Not sure where something is? Searching is faster than clicking.

Frequently asked questions

  • I don't see a card that is mentioned in this article. Cards only appear if the matching feature is switched on and you have rights for it. Some parts are moreover for the 4planning team only; you recognise those by the 4planning label.
  • Why can't I raise my storage or member count myself? We arrange that together — there is deliberately no button for it. The Limits page has a button to request an increase.
  • I saved a link to a setting, does it still work? Yes. Old links to a part automatically end up in the new place.
  • Where are the settings for bar shifts, the team directory and sponsors really? On their own page. You get there through the card under Features, or through the Settings button on the page of that part itself — both are fine.
