Sending a reminder for a poll

Are the votes lagging behind? Send reminder nudges exactly the members who have not voted yet. 4planning selects that group automatically, so anyone who already voted receives nothing.

Step 1: Open the poll

1. Click Communication in the menu and then Polls.
2. Click the poll you want to send a reminder for.

Step 2: Click Send reminder

The button sits at the top right of the page, next to Edit.

Step 3: Choose who receives the reminder

At the top of the window you choose the recipients:

• Who has not voted yet – members who can see the poll but have not cast a vote. This is the default.
• Everyone who can see the poll – the full audience, including those who already voted.

Below the choice you immediately see who receives the message. Click the row of photos to expand the names.

Step 4: Review or adjust the message

Under View & edit per channel there are two tabs, each with a subject, a text and a preview underneath:

• Push notification – the short message on the phone.
• Email – the message in the mailbox.

The text matches the audience you picked in step 3: those who have not voted are asked to cast their vote, while "everyone" is told the poll is still open. Switch audiences and the text switches along.

Anything you change here applies to this send only. To change the standard text permanently, go to Settings › Email › Email templates. Each audience has its own template there, with a text per language of your organisation.

The word {poll} is replaced by your poll question when the reminder is sent. Leave it in place if you want to use it; the preview underneath shows exactly what it will say.

Step 5: Send

Click Send reminder. You get a confirmation with the number of messages sent.

Frequently asked questions

I cannot see the button. How come? Two possibilities. The poll is still a draft or scheduled, or it has been archived — members cannot open it then. Or everyone has already voted, which leaves nobody to remind.

Why are fewer emails sent than push notifications? Every member decides how they receive notifications. For a poll reminder the push notification is on by default and email is off. Members change this in their own notification settings, under Poll reminder.

Do members who already voted receive anything? Only if you pick Everyone who can see the poll in step 3. Not with the default choice.

Can I send a reminder twice? Yes. If you already sent a reminder within the last day, you see a warning with the date and we ask you to confirm.
