Creating and sending a quote

On Quotes you put together quotes, send them to your customer and track their status right through to acceptance.

Starting a new quote

  1. Go to Quotes and click New.
  2. Choose Blank to build a quote yourself (want Planny to draft a concept for you? See Creating a quote with Planny).
  3. Search for and select the customer.
  4. Click Create — you'll land in the quote editor.

Putting the quote together

In the editor you fill in:

  • Recipient — the linked customer; for a business customer you also choose a contact person.
  • Billing address — defaults to the customer's address; you can override it.
  • Valid until — the quote's expiry date.
  • Payment term in days.

Add lines with Add line: description, quantity (decimals allowed, e.g. 2.5 hours), price, and an internal purchase price the customer never sees. Per line, use the eye icon to choose whether the price is visible to the customer. At the bottom you can optionally set a discount (amount or percentage) and the VAT percentage, and add a note for the customer (for example your payment terms).

Click Save to save your progress.

Sending to the customer

Click Send by email. The customer receives an email with a link to view the quote online and give digital approval (see What your customer sees for a quote). The status jumps to Sent.

Statuses

Status Meaning
Concept Not sent yet, freely editable.
Sent With the customer, awaiting a response.
Approved Customer has given digital approval.
Rejected Customer has rejected the quote.

Editing a quote that's already been sent

A sent or rejected quote opens locked, with a notice over it. Click Edit to unlock it, make your changes and send it again.

You can no longer change an approved quote — it's final, because the customer has already approved it. Want to change something anyway? Click Copy to create a new draft quote with the same lines, and send that one.

Other actions

  • Download PDF — the quote as a document.
  • View customer view — exactly what your customer sees, in a new tab.
  • Copy — a new draft quote based on this one.
  • Delete — permanently deletes the quote and its PDFs.

Frequently asked questions

  • What happens when a quote gets approved? If Projects is enabled in your environment, a project is automatically created based on the quote — see Creating and managing a project.
  • Can I see whether my quote has already been viewed? Yes, every visit by the customer to the quote page is logged.
  • What if the customer doesn't respond before the expiry date? The quote stays open; the customer sees a notice that the quote has expired and can get in touch for an updated one.
  • I don't see a "View project" button. That only appears once the quote has been approved and a project has actually been created from it.
