Adding and managing a customer
On the Customers page you manage all customer details and see, at a glance, their contact history, quotes, projects and maintenance.
Adding a customer
- Go to Customers and click New customer.
- Choose the customer type: Private individual or Business. For Business, you can also fill in a company name.
- Fill in first name, last name and email address — these three fields are always required, even for a business customer (enter your contact person's name).
- Does your environment have the customer portal enabled? Then you can immediately tick "Send login details right away (customer portal)". The customer then receives an email with a login link.
- Click Create customer.
Editing customer details
Open the customer and click Edit. Here you can:
- change the customer type (and for Business: company name, Chamber of Commerce number, VAT number),
- update contact details (salutation, name, email, phone),
- fill in the address — this address is automatically used to show the customer on the map (see Viewing customers on the map),
- keep internal notes.
The customer record
Every customer has their own record with tabs, depending on which parts of the business module are enabled in your environment:
- Overview — active projects, outstanding quotes, last and next appointment.
- Appointments — visit history and scheduling new appointments.
- Projects and Maintenance — if these parts are enabled.
- Quotes — all quotes for this customer, with a button to start a new one.
- Products — equipment installed at this customer, with warranty status.
- Contacts — business customers only: multiple points of contact, with one marked as primary.
- Communication — a log of emails exchanged with this customer.
- Documents.
- Customer portal — if the customer portal is enabled: here you grant or revoke access to the Bouwjournaal (construction diary) for this customer.
Granting or revoking portal access
On the Customer portal tab:
- Click Grant access.
- Fill in this person's first name, last name and personal email address.
- This person immediately receives an email with a login link.
Want to revoke someone's access? Click Revoke access next to their name. The account itself keeps existing, only the link with this customer disappears.
Note: the customer portal grants access to the Bouwjournaal, not an overview of quotes. A customer views and accepts quotes via the link in the quote email itself.
Deleting a customer
Click Delete at the top of the customer record and confirm. This permanently deletes the customer, their documents and linked data — this cannot be undone.
Frequently asked questions
- Can I create a business customer without a person's name? No, the creation form always asks for a first and last name, even for a company — enter the contact person.
- Why don't I see the Customer portal tab? The customer portal is a separate setting your administrator needs to turn on in Settings.
- Why don't I see any quotes on the Quotes tab? This tab searches by the customer's email address. If the customer has no (correct) email address, quotes can't be found here.
- Can I import existing customers? Yes, use Import above the customer list. Download the template Excel first so the columns line up correctly.
