What your customer sees for a quote
When you send a quote, your customer receives an email with a link to the quote. This link is personal and not guessable — your customer doesn't need to log in anywhere.
What the customer sees
- Your business details, the quote number and its status (Open, Approved, Rejected or Expired).
- The full quote document with all lines and the total amount.
- A button to download the quote as a PDF.
Giving digital approval
As long as the quote is still open, the customer sees a card to approve it:
- The customer fills in their full name.
- Ticks that they're authorised and agree to the quote and the terms and conditions.
- Clicks Approve quote.
The status immediately jumps to Approved, you receive a notification, and — if Projects is enabled in your environment — a project is automatically created based on this quote.
Rejecting
At the bottom, the customer can also choose "I want to reject the quote". An optional text field for a reason appears, and after confirming, the status jumps to Rejected. You also receive a notification in this case.
Once approved or rejected, the customer can't respond again via the same link.
An expired quote
Has the expiry date passed and the customer hasn't responded yet? Then the customer sees a notice that the quote has expired, asking them to get in touch for an updated quote.
Frequently asked questions
- Does my customer need to create an account to respond? No, the link in the email is enough.
- Can I see what the quote looks like for the customer myself? Yes, click View customer view in the quote editor.
- Could my customer accidentally accept the quote twice? No, once approved or rejected the action is final and can't be repeated via the same link.
- What happens if I edit the quote after sending it? The link stays the same; the customer always sees the most up-to-date version.
