Managing bar shifts

Easily manage existing bar shifts and stay in control of staffing, sign-ups and changes.

The bar shifts overview

The bar shifts overview shows every scheduled shift. For each shift you immediately see:

  • Date and time
  • Location
  • Number of people needed
  • Current staffing

Managing staffing

Click a bar shift to view and adjust the staffing:

  • See which members are scheduled
  • See who is on the waiting list
  • Add members manually
  • Remove members from the shift

Managing sign-ups

Depending on the settings you can:

  • Approve or reject sign-ups
  • Move members from the waiting list to the confirmed staffing
  • See how many places are still open

Changing a bar shift

You can change an existing bar shift, such as:

  • Adjusting the date or time
  • Changing the location
  • Adjusting the number of people needed
  • Updating the description

Letting the scheduled people know

Below the edit form you'll find the Notify members toggle. Here it is off by default: adjusting the number of people needed or fixing a typo is not news, and no phone needs to buzz for that.

If you do move the time or the location, switch it on. The message goes to the people on this shift — scheduled, signed up, or on the reserve list — and not to everyone with the bar duty role, who have nothing to do with it. Above the toggle you can see exactly who they are.

Under Message (optional) you can write why the shift is changing, for example "We're starting an hour earlier because of the match". Below it you see how that arrives on a phone. Leave it empty and a standard text is used.


Deleting a bar shift

No longer need a bar shift? You can simply delete it. All associated sign-ups are removed as well.


Tip

Check the staffing of bar shifts regularly. That way you avoid being short-staffed and can adjust in good time 👍
