Setting visibility

Step 1: Go to News
- Log in to your 4planning environment.
- Click Communication in the menu.
- Then click News.
Step 2: Open or create a news item
- Open an existing news item or create a new one.
Step 3: Set visibility
In the news item you can set who may see it.
- All members – The news item is visible to every user in the organisation.
- Specific groups – The news item is only visible to the selected groups.
Step 4: Select groups
When you choose specific groups, you can select one or more of them. Only members of those groups gain access to the news item.
You can combine several groups when the item is meant for different audiences.
Step 5: Save or publish the news item
- Check that the right audience is selected.
- Save or publish the news item.
The visibility is applied immediately.
Tips for effective use
- Use groups to keep communication clear and relevant.
- Always check that the item is only visible to the right audience.
- Use clear group names so you can make the right selection quickly.
Good to know
- Members only see news items they have access to.
- When a user is not part of a selected group, the news item is not visible to them.
- Changes to the group structure can affect the visibility of existing news items.
