Adding attachments
Klik om te laden — er wordt pas dan verbinding met YouTube gemaaktAttachments let you add extra information to a news item, such as documents, images or other files. This is useful when you want to share supporting material with members.
Step 1: Go to News
- Log in to your 4planning environment.
- Click Communication in the menu.
- Then click News.
Step 2: Open or create a news item
- Open an existing news item or create a new one.
Step 3: Add attachments
- Go to the Attachments block.
- Tap the Drag files here or tap to choose box, or drag a file into it from your computer.
- The file appears in the list underneath straight away, with its file name and size.
Step 4: Add several attachments
- Tap the same box again and choose the next file.
- Files stack up: what you chose earlier stays where it is. Below the box you see how many attachments you have and how big they are together.
- Chose the wrong file? Tap the cross behind that line to remove just that one file.
You can also pick them all at once by selecting several files in the file browser.
Step 5: If a file is not accepted
If a file does not meet the requirements, you see a message straight away and it is not added to the list. That happens with:
- a file type that is not allowed (a
.zip, for example); - a file larger than 16 MB;
- attachments that together exceed 25 MB;
- a file you had already added.
Step 6: Save or publish
- Check the news item.
- Save or publish the news item.
The attachments are now visible to the selected audience.
Tips for effective use
- Use clear file names so members know what they are opening.
- Only add relevant documents to keep things clear.
- Check that the right audience has access to the news item.
Good to know
- Only users with access to the news item can view the attachments.
- Allowed file types: pdf, Word, Excel and images (png, jpg, webp).
- A maximum of 16 MB per file and 25 MB for all attachments of one item together. Large files take longer to upload.
- Attachments stay linked to the news item until they are removed.
- If you also send an email with the item, the attachments appear in it as a download button. Those download links keep working for twelve months; after that the file has been cleaned up and you see a message that the attachment has expired. In the news item itself the attachment simply stays available.
