What Planny can and cannot see
"An AI on our member data" sounds like something to think about first. Rightly so. This article explains what Planny can and cannot see, so your board can make an informed decision instead of a gut-feeling no.
The core: Planny sees what you see
Planny derives its authority from the logged-in person, not from the question. If an ordinary member asks who has not paid their fee, they do not get it — not because Planny refuses, but because it cannot request that overview for this member. If the treasurer asks the same, they do get it.
That also means a clever question grants no extra access. There is no wording that gets a member to data they cannot reach in the app either. What Planny may request is decided per role before the conversation begins.
It only knows your environment
Planny looks only in the environment you are logged into at that moment. If you are a member of two clubs, those stay entirely separate. Other 4planning customers do not exist for it.
Only what the answer needs
Planny is not handed "the member list". It fetches exactly what it needs per question, and no more. A question about Thursday's training involves no phone numbers and no dates of birth — they are not in the answer, and they were not fetched.
It also only knows the features you have switched on. If you do not use membership fees, fee questions do not exist for it.
What it cannot do
- Send nothing. No email, no push, no invoice. What it creates is a draft that you still have to publish.
- No deleting members, no changing roles, no collecting money.
- Nothing outside 4planning. It cannot visit websites or read files elsewhere.
What gets recorded
Every question is logged for the usage overview: which member, which page, how much was used. That feeds the card at Settings → Limits, so you can see where your credit goes.
Who may use Planny
You decide that yourself, at Settings → Appearance → Planny: everyone, administrators only, or system administrators only. In doubt? Switch it on for administrators first, watch the usage overview for a month, and only then open it up to all members.
Frequently asked questions
- Is our data used to train an AI? No. The data that comes up in a conversation is used to answer your question, not to train a model.
- Can a member request another member's data through Planny? Only as far as they may see it in the app. Visibility of phone numbers and email addresses is set at Settings → Access & privacy; Planny follows those same settings.
- Can we switch Planny off entirely? Yes, with one toggle. Then it is invisible to everyone in your environment.
- Do we as the board see what is being asked? You see the usage and where it goes, not the conversations themselves — deliberately: nobody dares ask an assistant anything if they suspect the board is reading along.
