Why use folders?
Folders help you structure documents logically and share them with the right groups.
- More oversight.
- Finding documents faster.
- Targeted access per group.
Step 1: Go to Documents
- Log in to your 4planning environment.
- Go to Documents in the left-hand menu.
Step 2: Choose the location
First choose where you want to create the new folder.
- Open the right main folder or group.
- That keeps the structure clear.
Step 3: Create the folder
- Go to the Actions tab.
- Click Create folder.
- Give the folder a clear name (and think straight away about which existing groups in your environment should have access to it).
- Save the folder.
The new folder is now visible and ready to use.
Access rights and visibility
The folder's access rights determine who can see the documents.
- Link the folder to the right groups.
- All documents in this folder follow the same rights.
Tips for effective use
- Use a logical, recognisable structure.
- Create separate folders per team, project or topic.
- Keep the number of folders manageable.
Good to know
- Access to documents is determined by the folder.
