A document isn't visible to members
When a document is not visible to members in 4planning, it usually comes down to access rights or the folder's settings. This article covers the most common causes and how to solve them.
Check the folder rights
In 4planning, access to documents is determined by the folder the document is in.
- Go to Documents.
- Open the folder the document is in.
- Check which groups have access.
If the right group does not have access, add it and save your changes.
Do you want everyone to see this folder? Then switch on Folder for all members instead of ticking every group. That is also the fix when a member is not in any group yet: without a group and without that switch, such a person does not see the folder.
Check group membership
A user only sees documents from groups they belong to.
- Go to Organisation > Members.
- Open the user.
- Check whether they are a member of the right group.
Check the folder's visibility
When a folder has limited visibility, not all members will see it.
- Check whether the folder is only visible to specific groups.
- Adjust the settings where needed.
Check subfolders
When the document is in a subfolder, that folder may have different rights than the main folder.
- Check the subfolder's rights.
Refresh, restart or log in again
Sometimes a technical problem means changes are not visible yet.
- Refresh the page or restart the app.
- Log in again.
Check that the document uploaded correctly
Check that the document is actually in the right folder.
- Check the file name.
- Upload the document again if needed.
