In 4planning you can easily upload and share documents within your organisation or groups, so members always have access to the right information and files. This article explains how to upload documents.

Step 1: Go to Documents

  1. Log in to your 4planning environment.
  2. Go to Documents in the left-hand menu.

Step 2: Open the right folder

Navigate to the folder where you want to upload the document.

  • Choose the right group or category.
  • This determines who has access to the document.

Step 3: Upload the file

  1. Go to the Actions tab.
  2. Click Upload file.
  3. Select the file from your computer.

The document is now added to the folder.

Who may upload?

By default only administrators upload. If you want members to add files or folders themselves, set Settings › Access & privacy › Documents › Who may add files and folders? to Everyone. That then applies to every member who may see the folder — someone who cannot see the folder cannot put anything in it either.

Deleting is a separate question with its own setting, so you can let members upload without them being able to throw anything away. See Setting document access rights.

Checking your storage

Note that your organisation has a maximum amount of storage.

  • Check the available storage regularly.
  • Delete old or duplicate files.
  • Use clear folder structures.

This keeps the environment organised and efficient.
