Deciding who may see an album

Updated on

An album is not automatically for everyone. You decide per album who may view it.

All members or specific groups

When you create an album you pick one of two cards under Who may see this album?.

  • All members — the album is visible to all members of your environment. This is the default.
  • Specific groups — you then tick the groups that may see it. Only members of those groups see the album. Anyone outside them does not see it in the overview and cannot open the photos either.

The rights apply to the whole chain: the album, the photos in it, and the originals you can download.

Albums of a group

A group page has a Photo albums section. It shows the albums linked to that group.

If a group administrator creates an album there, it is linked to that group straight away and is therefore not open to the whole club. That is intentional: photos of a youth team do not have to reach everyone.

Who sees which album in the overview?

On the Photo albums page, every member only sees the albums meant for them. So there is no list of albums they cannot open anyway.

System administrators always see everything. For ordinary administrators you decide that with the Administrators see all albums setting under Settings › Access & privacy › Photo albums.

Frequently asked questions

Can I share an album with someone outside the club? No. Unlike documents, albums have no public share link. Photos of members belong inside the environment.

Can I change the visibility later? Yes, through the album's access settings.

What if someone forwards a photo anyway? The app cannot prevent that — anyone who may see a photo can download it. Make agreements about that within your club.
