Recording attendance at a training

At some clubs this feature isn't called "training" but "rehearsal", "lesson" or "practice" — the club picks the word itself. In this guide we use "training".

You can already see who cancelled in advance. But only the trainer knows who simply didn't show up. That's what you record here.

When you can do it

Recording attendance is possible once the session has started — not before. That's deliberate: the moment you set the first tick, 4planning locks in the participant list as it is at that point. If that happened beforehand, a cancellation coming in afterwards would no longer appear in the list.

You cannot record attendance for a cancelled session.

How to record attendance

Open the session and look at the Expected block. Behind each name are two small buttons:

  • — was there
  • — wasn't there

One tap is enough; there's no save button. Tap the same button again and the name goes back to not recorded — handy if you make a mistake.

At the top of the block you can see how far along you are ("8 of 12 recorded"). The Everyone button sets everyone you haven't touched yet to present; names you already marked as absent stay as they are.

People who cancelled

Members who cancelled are in a separate block and don't need to be recorded — they don't count towards the counter. Did someone turn up after all? You can still mark them present there. Cancelled and didn't show up are two different things, and that difference stays visible.

Seeing the figures

What you record comes back in two places:

  • Trainings → Attendance (button top right, administrators only): per member how often they were there, how often not, and the attendance percentage. The lowest attendance is shown first by default — this page is meant to show you who to have a word with. Use the dropdown at the top right to view a single series, and sort on any column.
  • On a member's profile, tab Attendance: the attendance percentage for that one member, and per session whether they were there.

The percentage only counts sessions you have actually recorded. Sessions where nothing was entered are excluded — they're listed separately ("nothing was recorded 3 times"). That way nobody's figure drops because the trainer didn't get round to recording attendance.

Frequently asked questions

Can a member mark themselves present? No. Recording attendance is a trainer's action — otherwise it's no longer a measurement but self-reporting. Members can cancel their attendance in advance.

Does someone get a message if I mark them absent? No. Recording attendance sends no notifications at all.

What if I forget to record a session? It stays on not recorded. It never counts as "absent" anywhere — a forgotten session doesn't distort the figures.

Can I see who recorded something? 4planning stores who set each tick and when. That's there in case a member disagrees.
