Enabling and setting up work orders
With Work orders, a technician fills in a form on site with hours, kilometres and materials, the customer signs on screen, and the timesheet per staff member rolls out automatically. It's designed for companies with field service.
Turning it on
Work orders is off by default. Go to Settings and enable the Work orders branch. You need the business module for this.
Once enabled, Work orders and Timesheets appear in the menu for your staff.
What to set up first
Before your technicians start using it, it's handy to have the following ready:
- Types of work — the categories a technician can choose on the form.
- Materials with their unit price, so a technician can look them up instead of typing them.
- Rates for hours, travel time and kilometres.
Who sees what
The permissions model is deliberately generous on reading and strict on money:
- Every staff member may view all work orders — handy when a colleague takes over a job.
- Amounts, expenses and invoicing are only visible to administrators. Even if a staff member opens the page directly, that data stays hidden.
The overview
On Work orders you'll find all forms with filters for status, type of work, staff member and date. Two quick filters help with daily follow-up:
- Not yet signed — forms still missing a signature.
- Not yet invoiced — only visible to administrators.
The overview shows a maximum of 200 rows; if there are more, the app says so explicitly so you know to filter.
Frequently asked questions
- I don't see Work orders in the menu. Check that the business module is on and that the Work orders branch is enabled — the latter is off by default.
- Can a staff member see amounts? No, prices and invoicing status are admin-only.
- Do technicians have to fill in the timesheet separately? No. The hours they put on a work order appear automatically in their timesheet. See Submitting your timesheet.
