Approving timesheets

As soon as staff submit their week, it arrives on the Approve tab under Timesheets.

The loop

A submitted week goes through three steps on your side:

  1. Submitted — the staff member has closed the week and can no longer change it themselves.
  2. Seen — you've checked the week.
  3. Booked — the hours are processed into your records.

Something not right? Send the week back. The staff member then sees the status Returned, can correct it and resubmit.

What to look at

The hours largely come straight from work orders, so they've already been signed by the customer. What you mainly check:

  • Manually added hours without a work order (internal work, leave, sick days).
  • Travel time and kilometres deviating from the usual.
  • Expenses that need accounting for.

You can open any staff member's week to review it; editing always stays with the staff member.

Exporting

Use the CSV export to feed hours into your payroll or accounting package.

Frequently asked questions

  • Can I correct a staff member's hours myself? No. Send the week back with an explanation; the staff member adjusts it. That keeps it clear who entered what.
  • A staff member forgot to submit. As long as a week isn't submitted it stays on "Not yet submitted" and you can't approve it — give the staff member a nudge.
  • Do I also need to go through the work orders separately? Not for the hours; those are in the timesheet. For invoicing, yes — use the "Not yet invoiced" filter on the work orders overview.
