Creating and analysing a survey

Updated on

A survey is more extensive than a poll: where a poll is one question with options, a survey can contain multiple questions, each with its own question type.

Building a survey

  1. Go to Manage surveys and click New survey.
  2. Under Basic details, fill in the title, description and a thank-you message — for every language your environment has active.
  3. Go to Questions and add questions. Available question types:
    • Short text / Long text
    • Single choice / Multiple choice / Dropdown
    • Scale (for example 1 to 5, with your own labels)
    • Yes/no
    • Number
    • Date
  4. Mark a question as required and optionally add a help text. For choice questions, add options with Add option.
  5. Under Settings, configure:
    • Visibility: public (shareable link, no login needed), all members, or specific groups.
    • Fill in anonymously on or off.
    • One response per person — only works if the survey isn't anonymous.
    • An opening and closing time.
  6. Click Create.

Want help putting it together? Use With Planny to have a full concept (title, description, questions) generated based on a one-line topic. Use Translate to have the entire survey automatically translated into your other active languages.

Sending it out

From Manage surveys you can send an email invitation to all members or specific groups. If visibility is set to public, you can simply share the link too — for example with sponsors or non-members.

What a member sees

On Surveys a member finds open surveys with a Fill in survey button. If the survey has already been filled in (and it's not anonymous, with "one response per person" on), they instead see "You've already filled in this survey." Outside the opening/closing window it shows "This survey is closed."

Viewing results

Open the survey in Manage surveys and go to Results: number of responses, a completion percentage, and an overview of answers per question. Click Export for a CSV file.

Deleting a survey

This is in the danger zone of the edit page. Note: this is permanent and also deletes all responses already received.

Frequently asked questions

  • What's the difference with a Poll? A poll is one question with voting options. A survey can contain multiple questions, of different types (text, choice, scale, number, date).
  • Can someone fill in an anonymous survey twice anyway? "One response per person" is only checked if the survey isn't anonymous — for an anonymous survey this can't be technically enforced.
  • Can I share a survey with people who aren't members? Yes, set visibility to public; you then get a link that can be opened without logging in.
  • I want to add a question but can't save. A survey needs at least one question, and a choice question needs at least two options.
