Viewing the occupancy of pitches, changing rooms and referees

Occupancy shows what is booked at the same time on a single day. You open it with the Occupancy button in the header of Manage matches. You get three schedules below one another — Pitches, Changing rooms and Referees — because those are three different questions: is a pitch still free, where does JO13 change, and does Peter get enough rest between two matches?

You do not move a match here: clicking a block opens that match, and that is where you set the pitch, the changing room or the referee. What you do record here is extra occupancy — whatever keeps a pitch or changing room busy without a match being scheduled.

How to read the schedule

Every row is one resource: pitch 1, pitch 2, changing room 3, or the name of a referee. Time runs across the width, from the first start to the last finish of that day. Each block is a match, with the teams and the time in it.

• Red is a double booking — two matches overlapping on the same row. The header of that schedule then shows a counter, for example 2 double bookings, and the top of the page shows the total for the day.
• Yellow is a tight schedule — that only concerns referees. There is then less time between two matches than the rest period you set. That is not an error, but it is worth knowing.
• Yellow striped is extra occupancy — not a match, but something you recorded yourself (see below).
• Free means exactly that: the resource exists but has no booking at all that day. That is what this screen is for — you see at a glance which pitch or changing room is still available.

At the bottom of the referee schedule you find N referee(s) without a match; expand it for the names of everyone who has nothing that day. If someone is on more matches than your maximum per day, that is noted under their name.

Adding extra occupancy

Maintenance, a rental, another club's tournament: that keeps a pitch or changing room busy without a match being scheduled. Click Add occupancy in the page header and fill in:

• a name, for example major maintenance or rental to the futsal club;
• the type: Maintenance, Rental or Other;
• what is occupied — tick one or more pitches and changing rooms at once. "The whole sports park is dug up" is one message, not four separate entries;
• when — a from–to period, which may span several days. The All day switch is on; turn it off and a from and a to time appear.

Such a block counts in three places, and that is the reason it exists. It appears as a yellow striped block in the schedule, a match that falls on top of it is flagged as a double booking, and the assignment generator skips that pitch or changing room. Empty times mean the whole day.

At the bottom of the page the Extra occupancy card lists everything blocked that day, with a delete button per row. That is deliberately a list and not a click on the block itself: such a block is sometimes twenty pixels wide, which makes removing it an exercise in precision.

Dragging on the time bar

You can also draw a block. Drag an area across the lane of a pitch or changing room and the same form opens with the place and the times already filled in. Times snap to quarter hours.

• An ordinary click does nothing. Dragging only starts after a few pixels of movement: this is first and foremost a viewing screen.
• You cannot drag on the referee schedule, nor on top of an existing block.
• The button in the header always remains the other route — with a keyboard this gesture does not exist.

Moving from day to day

Browse with ‹ and ›, or pick a date with the date picker. If you are not on today, a To today link appears. The date is in the link (?datum=2026-09-12), so you can simply forward a day to someone else — they open exactly the same view.

If you open the page without a date, it jumps to the next day that has matches. An empty schedule as an opening view reads as "there is nothing", while most clubs do not play midweek.

A time axis does not fit on a phone. There, each schedule becomes a list per resource, with the bookings sorted by time and the same markers (Double, Tight). Resources without a booking are left out of that list: ten rows saying "Free" would push the conflicts off the screen.

Where the finish times come from

A match has no finish time in the app — only a start time. The page therefore works out the end using the match duration you set, or the duration that applies to that age category. If that duration is wrong, the blocks are wrong and so are the conflicts. You set it under Manage matches → Manage referees → What the planning calculates with, field Match duration (minutes). Football is 90, handball 60, basketball 40. The same place holds Rest in between (minutes) and Max. matches per day; for an individual referee you can deviate from the rest period in their profile.

No changeover time is included. A room is free the moment the match has finished, so two teams handing over the same changing room to the minute are not a double booking. That is a deliberate choice. If you want breathing room between two teams, plan it yourself.

Which pitches and changing rooms you see here

The rows come from the list under Manage changing rooms & pitches (on Manage matches), in the order you chose there. If you have connected Sportlink, the synchronisation automatically adds pitches and changing rooms that turn up in matches. For a changing room you can set Who for: Teams and referee, Teams only or Referee only; that shows here underneath the name. If the list is still empty, that section is empty with a button to that management screen.

Frequently asked questions

• Who may see this page? Administrators and members with the referee coordinator role. Both may also add and remove extra occupancy.
• Can I change a match here? No. Click a block to open the match — that is where you change the pitch, the changing room or the referee. You cannot drag an existing block. Adding and removing extra occupancy you can do here.
• I do not see the Add occupancy button. Then your list does not contain a single pitch or changing room yet. Add them first under Manage rooms & pitches.
• Why do I see an away match? Only in the referee schedule. If one of your members referees an away match, that person is just as busy at that moment. Pitches and changing rooms only cover home matches — the logistics of an away match are not yours.
• Why is a match missing? Cancelled matches drop out, and a match without a start time cannot be placed on the time axis. A match without a pitch or changing room only appears in the referee schedule, if someone is assigned to it.
• Can I see a whole week? No, the page shows one day at a time.
• Can I export this? No. If you want the referee schedule on paper, use Export on Manage matches.
• Do tournament matches count? Yes. They occupy the pitch just as much as a league match.
• I see a double booking that is not one. First check the match duration you set: if it is too long, blocks overlap that in reality follow each other neatly.
