Approving Sportlink changes

If your environment is linked to Sportlink, the app automatically flags changes in your Sportlink teams — but never applies them blindly. Every change waits for your approval in the Sportlink inbox.

Opening the inbox

Go to Member overview and click the Sportlink button in the top right. A yellow badge shows how many changes are still pending. This is only visible to system administrators.

What you might encounter

  • Add — a new player is in Sportlink but not yet in 4planning.
  • Remove — a player is no longer in the Sportlink team.
  • Change — for example, an existing member's name has changed.
  • Renamed — a Sportlink team has been renamed.
  • Team gone — a team no longer exists in Sportlink.

Reviewing a change

Each row shows a summary (for example "Jan de Vries → E1 Boys") and, where relevant, extra context. The buttons differ per type:

  • New player: Invite (creates an account and sends an invitation), Add silently (creates an account without an email), Existing member (link to an already-existing member instead of creating a duplicate account), or Skip.
  • Player gone: Remove (takes the member out of the group) or Keep.
  • Change or Team renamed: Apply or Keep.
  • Team gone: OK (acknowledge, no action) or Ignore.

Do you recognise the name of someone who's already a member but not (yet) linked to Sportlink? Then the app shows a yellow hint "Looks like [name]" — in that case, use Existing member instead of creating a new account, otherwise a duplicate account is created.

You can also handle multiple rows at once with the Approve/Reject buttons at the top. For rows with a "Looks like" warning or a removal, the app asks for confirmation first, listing the risks.

Frequently asked questions

  • I accidentally created a duplicate account. From now on, use the "Existing member" button as soon as you see a yellow "Looks like" warning — that links the Sportlink ID to the existing account instead of creating a new one.
  • Does a promoted reserve or new member see why they were added? No, the details of the change are only visible to system administrators.
  • What happens if I leave a change pending for a while? Nothing automatically — the change just stays open in the inbox until you make a choice. System administrators do get a notification whenever there are new pending changes.
  • I approve a name change for a linked family account (child) — does the name actually change? Yes, an approved name change is always applied, even for an account managed by a parent.
