Editing, cancelling or deleting a maintenance contract

You adjust a running contract on the contract screen, under Contract settings.

Editing

Here you can adjust:

  • Title
  • Status — Active or Cancelled
  • Frequency — monthly, quarterly, half-yearly or yearly
  • Next visit date — the target date on which the next visit gets scheduled
  • Linked equipment, if the Products feature is enabled
  • Description / instructions

Then click Save changes.

You only choose the linked project when creating the contract; it can't be changed afterwards.

Cancelling

Set the status to Cancelled. From that moment:

  • no new visits are scheduled automatically;
  • the contract disappears from the selection lists for appointments;
  • it disappears from Maintenance overdue on your dashboard.

Watch out here: any already-scheduled visits simply remain, and those keep sending reminder emails to your customer. If you cancel a contract, first cancel or delete the outstanding visit — otherwise your customer gets a reminder for an appointment that isn't happening.

After cancelling, the contract stays visible with the customer, history included. You can always set it back to Active.

Deleting

With Delete at the top of the screen you remove the contract permanently. All visits are then deleted too, including completed ones with your technicians' notes. There's no bin and no way to undo this.

In almost all cases cancelling is what you want: the customer stops the contract, but you keep the history. Deleting is only meant for a contract created by mistake.

Good to know

  • A maintenance contract has no start date, end date or notice period — only a status and a target date.
  • There's no amount or rate attached to a contract, and nothing is invoiced automatically.
  • If you change the frequency or the target date, the old value is gone; there's no version history.

Frequently asked questions

  • My customer still gets reminders even though I cancelled. There's still a visit scheduled. Open the contract and set it to Cancelled or delete it.
  • Can I pause a contract temporarily? There's no pause state. Set it to Cancelled and back to Active later, or move the target date forward.
  • I want to change the linked project. That isn't possible afterwards. Create a new contract with the right project if needed.
  • Where do I find an overview of all cancelled contracts? There isn't one; you view contracts per customer.
